Take one ordinary day into the demonstration
Choosing support coordination software is easier when you stop comparing feature names and start following the work. Use a fictional participant who has a current plan, two providers, a recent phone call and a report due. Ask the vendor to show that whole journey, with the roles your team will actually use.
The five tasks to test
- Find the participant and identify the next action without opening several separate files.
- Write a case note, record the duration and attach the evidence that belongs with it.
- Find funding context and explain where the figures came from.
- Prepare billing, check the payer and inspect an export.
- Hand the record to another authorised coordinator without making every participant visible to everyone.
Repeat the note on a phone. A desktop demonstration can hide the extra steps that appear between visits. Check whether an interrupted draft survives and how a coordinator knows the record has saved.
Compare the cost of your team
Get a written price for the people who need access, including managers and finance. Ask about client limits, onboarding, AI allowances, support, contract length and exports. A low starting price means little if the functions you need sit in another tier.
Decide what would stop the move
Write down your non-negotiables before the trial: participant access, useful exports, a workable mobile note or an existing finance process. Test those first. Keep a list of unanswered questions and ask for a direct answer rather than treating a planned feature as available today.
