Know what the balance includes

A useful funding view needs more than a large remaining number. Check the period, source and last update. Distinguish recorded work, sent invoices, paid amounts and future commitments. Otherwise a seemingly healthy balance can hide work that has not yet reached an invoice.

Review the figures with their source

  • Confirm the current plan dates and relevant funding categories.
  • Check opening amounts against the plan or authorised source.
  • Identify unbilled activity and invoices awaiting payment.
  • Keep expected future services separate from actual expenditure.
  • Record corrections and explain unresolved differences.

A dashboard reflects the information available to it. It should not be treated as the participant’s complete financial position unless the sources and reconciliation establish that coverage.

Turn the review into a conversation

Discuss the participant’s priorities and upcoming needs using figures you can explain. If the current service pattern appears unlikely to fit, identify the assumptions behind that view. Do not turn an estimate into a promise that funding will last or that a future claim will be accepted.

Test visibility before choosing software

Bring a fictional plan, a completed service and an unbilled note to a demonstration. Ask where each appears, how a correction changes the view and who can edit the underlying records. Check how your team would identify missing information.
