Switching Practice Software: A Checklist for Your Team

Thinking about moving? Start with one working day, a small sample of records and a clear plan for what happens to your old system.

You don’t need to move your whole practice to find out whether new software suits you. Start with a small trial that follows the work you do every day. You’ll learn more from finishing a note and checking an invoice than from a long feature list.

Start with the reason you’re moving

Write down the two or three things that are slowing you down. Perhaps your notes sit outside your billing system, staff can’t find the latest plan, or bookings need entering twice. Give each problem a real example. Those examples become your trial checklist.

Try a complete working day

Use a fictional client first. Add their details, book an appointment or record a contact, finish the note and prepare an invoice. Open the same record on your phone. Ask the person who does billing to check the result.

  • Can you find the information without asking another staff member?
  • Can the right person review the note before it becomes part of the final record?
  • Does the invoice match the work, payer and service date?
  • Can you export what you would need if you moved again?

Know what needs to come with you

Make a list of client details, contacts, notes, attachments, appointments, agreements, balances and staff access. Check which exports your current supplier provides and which imports your new system accepts. A CSV of names is useful, but it isn’t a complete clinical or participant history.

Keep a separate list of information that needs a secure archive rather than an import. Agree who can access it and how staff will find an older record. Confirm retention requirements for your practice before cancelling or deleting anything.

Check a sample before the full move

Choose a few records that cover your actual work: an active client, someone with several contacts, a record with attachments and a client with more than one funding arrangement. Check names, dates, note authors, file access and outstanding balances on both sides. Record any missing fields so they don’t disappear into the handover.

Give your team a clear starting point

Pick a date for new work to begin in the new system. Decide what happens to unfinished notes and invoices already sent. Keep the old system available for the agreed transition period, and make sure everyone knows which system to use for each task.

One short session using your own workflow is often more useful than trying to learn every feature. Start with finding a client, writing a note and asking for help.

Ask these questions before you commit

  • What can be imported, and what needs manual work?
  • Who checks the imported records?
  • What does migration support cost, if anything?
  • What happens to access when a staff member leaves?
  • How do cancellation, exports and data retention work?

We can talk through the CordoCare workflow with you before you start. Request a walkthrough and tell us which system you’re using. We’ll discuss the available options rather than assume every record will transfer automatically.
