Before you start

Check these items before changing participant, billing or compliance records.

  • Confirm the plan review date and plan end date.
  • Review case notes, goals, budget utilisation and provider reports.
  • Collect the participant voice and current support needs.

Steps

Follow this workflow.

Open the participant plan review area

Open the participant profile and go to Plan Review if available, or gather information from Plans, Goals, Notes, Documents and Reports.

Review plan utilisation

Check budget usage, remaining funds, overuse, underspend and category level risks. Note anything that needs explanation.

Review goal progress

Open Goals and case notes to summarise progress, barriers, changed needs and future goal recommendations.

Use AI for structured summaries

Use AI to draft summaries from available notes where your role allows it. Check the output against the source records.

Create follow up tasks for gaps

If provider reports, participant statements or evidence are missing, create tasks with due dates before the review meeting.

Expected outcome

The plan review evidence is organised, source backed and ready to turn into a report or discussion brief.
