AI Smart Search for NDIS Participant Records
Use plain-language search to find authorised participant context faster, while respecting role access, source records and the limits of generated summaries.
Support coordinators often know the question before they know where the answer was recorded. It may be in a case note, task, plan date, provider link, communication or participant field. AI smart search lets the employee ask a plain-language question across authorised records.
Useful smart-search questions
- What follow-ups are still open for this participant?
- When is the current plan due for reassessment?
- Which providers are currently linked to the participant?
- What barriers have been recorded in recent notes?
- Which documents or reports are still missing?
- What was agreed in the last provider conversation?
Search should inherit participant access
A coordinator should not be able to discover an unassigned participant through a clever prompt. Smart search must apply the same organisation, role, team and participant rules as the normal interface.
A generated answer needs a source path
Use the answer to navigate to the underlying record. Check the case note, task, plan or document before acting on a material detail. Summaries can omit uncertainty or combine entries that need to stay separate.
Ask narrow questions
"Tell me everything about this participant" produces an unfocused summary and may expose more information than the immediate task needs. Ask for the smallest context that supports the work, such as recent open actions or evidence related to one goal.
Do not treat search as risk prediction
Smart search can retrieve recorded risks and barriers. It should not label a participant, predict an outcome or replace the organisation's risk and incident process.
A practical pre-call workflow
- Open the participant record.
- Ask for open tasks, recent notes and the next plan date.
- Open the source records behind important details.
- Prepare a short call agenda.
- Capture the new interaction and create follow-up tasks.
