Before you start

Check these items before changing participant, billing or compliance records.

  • Follow your organisation incident and reportable incident policy.
  • Record facts, dates, people involved and immediate actions.
  • Do not delay urgent safeguarding or mandatory reporting steps while entering data.

Steps

Follow this workflow.

1

Open Compliance

Use the Compliance area for incidents, complaints, risks and related registers. Use participant profile context when the item belongs to one participant.

2

Record the incident or risk

Add the type, date, participant, description, severity, immediate action, owner and status. Keep wording factual.

3

Move through the status workflow

Update incident or feedback status as it is acknowledged, investigated, resolved and closed. Add notes for key decisions.

4

Maintain consent records

Use consent workflows and participant communication preferences to track privacy, data sharing and communication permissions.

5

Use audit logs for sensitive history

Owners, admins and authorised managers can use audit logs to review sensitive changes and exports when investigating issues.

Expected outcome

Compliance work has clear ownership, status, evidence and audit history.
