How to link providers to a participant

Use the provider directory, add provider contacts, link providers to participants and maintain service relationships.

Before you start

Check these items before changing participant, billing or compliance records.

  • Check whether the provider already exists before creating a new record.
  • Confirm provider name, service type, contact person, phone, email and website.
  • Know which participant should be linked to the provider.

Steps

Follow this workflow.

Search the provider directory

Go to Providers and search by provider name, service type, suburb, contact or keyword. Open the existing provider if one already exists.

Create the provider if needed

Add provider name, provider type, contact details, website, address, notes and active status. Keep provider records broad enough to reuse across participants.

Link the provider from the participant profile

Open the participant, choose Providers, then link the provider. Add the service relationship, notes and any important contact preferences.

Use provider context during coordination

Refer to linked providers when logging communications, creating tasks, preparing plan reviews or checking gaps in service delivery.

Unlink rather than deleting shared providers

If a participant stops using a provider, unlink the provider from that participant. Only deactivate a provider record when it should no longer be used anywhere.

Expected outcome

Provider relationships are visible on the participant profile and reusable across the organisation.
