How to import and export data

Use import tools, migration review, data export and finance exports without breaking participant records.

Before you start

Check these items before changing participant, billing or compliance records.

  • Back up source data before importing.
  • Clean spreadsheets so required columns are consistent.
  • Decide whether the import is a test, migration or production update.

Steps

Follow this workflow.

Open import or export settings

Use Settings, Import for incoming data and Settings, Data Export for organisation exports where available.

Map required fields

For imports, match source columns to CordoCare fields such as participant name, NDIS number, contact details and assignment.

Review validation results

Fix duplicate participants, missing required fields, invalid dates and mismatched staff before committing the import.

Run a small test first

Import a small sample before large migration work. Check participant records, search results and reports after the sample.

Use exports for review and compliance

Use CSV, invoice and reporting exports when finance, audit or migration work needs source data outside CordoCare.

Expected outcome

Data moves into or out of CordoCare with validation, review and less risk of duplicate records.
