How to generate NDIS invoices

Create invoices from finalised case notes, review line items, send PDFs and export billing files.

Before you start

Check these items before changing participant, billing or compliance records.

  • Confirm the case notes are finalised and billable.
  • Check participant funding type and billing route.
  • Make sure organisation invoice details and price guide settings are correct.

Steps

Follow this workflow.

Open invoice generation

Go to Billing or Invoices, then choose Generate. Select the participant, date range, funding type or billing period as needed.

Review unbilled case notes

Check each proposed invoice line for service date, support item, activity, quantity, rate and participant. Exclude anything that should not be invoiced yet.

Generate the draft invoice

Create the invoice and review the draft. Confirm invoice number, recipient, participant, line item dates, totals and tax treatment.

Send or export

Send a branded PDF invoice, export NDIA bulk CSV, export Xero CSV or use the required plan manager/self managed process for the participant.

Update invoice status

Mark invoices as sent when issued and paid when funds arrive. Only cancel or delete according to your organisation finance process.

Expected outcome

Invoices are generated from real service records and can be sent, exported and reconciled.
