Before sending the NDIS invoice: who pays, and what needs checking?

Confirm the funding arrangement, recipient, service details and supporting evidence before the invoice leaves the practice.

Identify the payer before preparing the invoice

The participant record, service agreement and funding arrangement should tell the same story. Confirm who is responsible for payment and where the invoice needs to go. Do not assume that a contact who received the last invoice is still the correct recipient.

Follow one service back to its evidence

Check the participant, delivery date, service description, actual quantity, agreed price and supporting record. Review the support item, tax treatment and any special claiming conditions with the person responsible for your billing process. Resolve missing authorisation or conflicting details before sending.

Use a clear review sequence

  1. Find the completed service and its source note.
  2. Confirm it has not already been invoiced.
  3. Check the payer and funding arrangement.
  4. Review line items, quantities, rates and totals.
  5. Approve the draft through your practice’s process.
  6. Record the send result and reconcile payment separately.

A created invoice is not a sent invoice. A sent invoice is not a paid invoice. Keep those states separate so staff know what still needs attention.

Make exceptions visible

If a line is disputed, rejected or missing information, keep the original reference and the reason it needs attention. Check the result of an uncertain send or export before repeating it. Your finance team should be able to follow the record without relying on someone’s memory.
