How to assign and manage a participant caseload

Assign coordinators, use caseload filters, bulk reassign participants and keep scoped access correct.

Before you start

Check these items before changing participant, billing or compliance records.

  • Make sure the staff member has accepted their invite.
  • Check whether the participant should be assigned to a coordinator, therapist or both.
  • Confirm no open urgent tasks are missed during reassignment.

Steps

Follow this workflow.

Open the participant profile or caseload page

Use Participants for one record or Caseload for a wider view. Managers can compare assignments, plan review risk and active work across the team.

Set the primary coordinator

Edit the participant and choose the primary coordinator. This controls what coordinator scoped users can see in lists, dashboards and searches.

Use bulk reassignment when staff change

From the participant list or manager tools, select multiple participants and reassign them to the new coordinator when a staff member leaves or caseloads shift.

Check linked work after reassignment

Review tasks, notes, appointments, plan review reminders and urgent communications so the new coordinator understands the current state.

Archive inactive participants

If a participant has exited, update status or archive the record rather than leaving them in the active caseload.

Expected outcome

Caseload views, scoped access and follow up ownership stay accurate across coordinator changes.
