How to manage a participant profile

Use the participant overview, tabs, contact actions and profile completeness checks to keep records current.

Before you start

Check these items before changing participant, billing or compliance records.

  • Open the correct participant record.
  • Check your role allows you to edit before changing data.
  • Confirm sensitive details before saving.

Steps

Follow this workflow.

Review the overview

Use the Overview tab for contact details, assignment, plan manager details, profile completeness, recent activity and quick actions.

Use tabs for specific work

Use Notes, Plans, Goals, Tasks, Documents, Communications, Appointments, Invoices, Agreements, Welcome Pack, Referrals and Providers to keep each type of work in the right place.

Update contact and billing details

Use Edit to change phone, email, address, guardian details, emergency contact, plan manager and billing route details.

Use quick contact actions

Use phone, email and communication actions from the participant profile so outreach is easy to trace later.

Check activity after important changes

Review the Activity tab after major updates so the team can see what changed and when.

Expected outcome

The participant record remains complete, searchable and useful for every team member working with that participant.
